Petroleum Service Corporation is seeking a Human Resources (HR) Staffing Assistant to join team-oriented and fun HR group in our corporate office in Baton Rouge.  This full-time position serves in an integral role supporting a fast-paced work environment.  As a strong contributor to the team’s overall success, the Staffing Assistant coordinates the on-boarding process and provides administrative support to multiple recruiters.  In this role, the Staffing Assistant interfaces with all levels of hiring leaders throughout the company.  The individual in this role must be a positive team player, detail-oriented, professional, self-motivated, organized, and able to multi-task and meet deadlines.

Job Duties & Responsibilities:
  • Tracks candidates throughout the pre-employment process via the ATS.
  • Processes and coordinates background checks, drug screens, and physical exams of external candidates, acting as a liaison with our third-party vendors.  Escalates issues to recruiters and supervisor/manager for resolution.
  • Coordinates and obtains all pre-employment paperwork.
  • Provides timely, clear, and concise updates to recruiters, supervisors, and candidates.
  • Schedules candidates for Safety Council / OSHA courses.
  • Coordinates and schedules weekly New Employee Orientation (NEO).
  • Creates new employee packets for NEO.
  • Responsible for electronic I-9 and provides first day reporting instructions to each new employee.
  • Collaborates with HR and Payroll to escalate issues and ensures the candidate experience goes smoothly and appropriate hand-offs are in place throughout the hiring process.
  • Inputs new hires and rehires into the Human Resource System (HRS).
  • Codes invoices from Safety Council, background checks, and other vendors for payment.
  • Maintains EEO forms for active and terminated employees.
  • Answers phones and assists callers with basic information and/or forwarding call to the appropriate recruiter.
  • Provides back-up to front desk receptionist as needed with greeting and directing visitors, applicants, employees, and customers.
  • Provides recommendations to implement policy and process improvements on an ongoing basis.
  • Recognizes strong principles of customer service to all external clients and potential employees, as well as our internal co-workers and support staff.
  • Maintains a high level of confidentiality.
  • Contributes to our HR team’s efforts by accomplishing related tasks as needed.

Skills / Qualifications:

  • Highly self-motivated, attention to detail, and ability to multi-task and meet deadlines are essential in this position.
  • Very organized with effective time management skills.
  • Positive and collaborative team player with excellent customer services skills (internal and external).
  • Possess strong interpersonal skills to communicate with all levels of leadership, as well as external candidates.
  • Excellent verbal and written communication skills.
  • Ability to maintain a high level of professionalism and confidentiality.
Minimum Job Requirements:
  • Bachelor’s degree is preferred.
  • HR or administrative experience is a plus.
  • Proficient in MS Office Suite (i.e. Outlook, Excel, Word, Powerpoint). 
  • 18 years or older and legally able to work in the U.S.
  • Stable work history with good references from past employers
  • Pass a drug screen, physical, and background check
  • Speak fluent English
  • PSC is a veteran-friendly company. Previous military experience and proven ability to follow procedures is a plus.
