Petroleum Service Corporation is growing tremendously and seeking a full-time Administrative Assistant to provide on-site support to a new railcar repair group and serve as the main point of contact for both PSC employees and customer contacts at the site. The Administrative Assistant is responsible for all clerical duties to include managing timesheets and communicating operational information from the field to the customer. This role will require the ability to multi-task and provide back-up assistance when needed to order supplies and PPE, as well as complete and maintain site specific documentation. The ideal candidate will have excellent customer service, communication, organizational, and interpersonal skills and will demonstrate the ability to multi-task in a chemical plant clerical environment.

Work Schedule: Monday – Friday (8-hour days)

Job Duties & Responsibilities:
  • Submits data entry for railcar billing.
  • Completes timesheets and payroll for on-site employees.
  • Maintains vacation, overtime, and attendance schedules.
  • Tracks attendance and maintains personnel training files.
  • Maintains payroll operations by following policies and procedures; reporting needed changes.
  • Prepares reports by compiling summaries of earnings, overtime, turnover, etc.
  • Provides information to PSC employees and customer contacts by answering questions and requests.
  • Maintains OSHA / Safety Council records.
  • Submits monthly and quarterly updates to customer and PSC Pasadena office
  • Provides administrative support and back-up assistance to order unit supplies and PPE as needed.
  • Makes copies, send faxes, and types memos.
  • Other duties as needed.
Preferred Job Qualifications:
  • Must possess a valid driver's license
  • Proficient in Microsoft Office (Excel, Outlook, Word and PowerPoint)
  • Good communication and organizational skills
  • Ability to multitask and meet deadlines on a consistent basis
  • Maintain high level of confidentiality and professionalism
Minimum Job Qualifications:
  • 18 years or older and legally able to work in the U.S.
  • Stable work history with good references from past employer
  • Pass a drug screen, physical, and background check
  • Speak fluent English
  • PSC is a veteran-friendly company. Previous military experience and proven ability to follow procedures is a plus.
